Tabulation Guide

Introduction

AuditionAdmin is the easiest way to manage entries, score tabulation, and results posting for honor band and choir auditions. This guide contains directions for entering scores, seating students in your honor groups, and publishing the results.

Entering Scores

Once cards start coming into the tab room, it's time for us to get to work. Here's how to enter the scores for each entry as you receive the card.
  1. Go to the "Tabulation" menu and choose "Enter Scores"
  2. Type in the entry id found on the card and click "Select Audition" or just hit the return key
  3. Enter each judges scores from the attached score sheets
  4. Verify that the total for each judge on the screen matches the total on the judges score sheet. This is your check to guard against mistyped scores
  5. If there are more score blocks than needed on the screen, just leave them blank.
  6. Enter the total score on the card. This gives us a paper backup if needed and shows that the card has been entered.
  7. Click "Enter Scores" and move on to the next card.

Audition Status

To view the current status of your tabulation process, go to the "Tabulation" menu and choose "Tab Status." From here, we can see the current status of all auditions. They are also color coded so you can quickly see what needs to be dealt with.
Yellow
There are still entries that have not had a score entered
Red
All scores have been entered, but no results have been published. It's time for you to deal with this audition.
Green
Results have been published for this audition.

Results

Finally, all the scores are entered and it's time to get down to the business of figuring out who has actually made your honor group. To get started, go to the "Tabulation" menu, choose "Tab Status" then click on the audition you would like to work on.

Dealing with Doublers

Before we can acutally seat students, we have to deal with any students who auditioned on multiple instruments or voice parts. If you have any unresolved doublers, they will be identified in the double result column as you scroll through the entries. From here, you can accept or decline the seat in any of the student's entries. There are a few things you should consider.

Seating Students

Once all the scores are entered and all the doublers are resolved, you can seat students in your honor ensemble. On the right side of the page, you'll see the form to enter your decisions. If your audition is set up to accept a variable number of students for this audition, you'll have to choose how many to accept from the dropdowns available. If there is a set number to be accepted, this number is shown, but you can't choose it. Even if it means accepting less than this number, auditionAdmin will not seat a student with a score of zero or a no-show.

Click on "Seat Students" to see the results for this audition. You have one last chance to double check everything before making the results available to the public. If you're happy with what you see, click the "click here to publish" link and you're ready to move on to the next section. If you need to change anything, you'll need to unpublish the results before you can make changes.
